CaseDocMover (“we”, “our”, or “us”) is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding that information.

1. Who we are

CaseDocMover is a desktop application that monitors an email inbox and automatically files court documents into your chosen document storage system (SharePoint, Box, Dropbox, or a network share). The application runs entirely on your own machine. We operate the licensing backend and this website at casedocmover.com.

2. Information we collect

a) When you purchase a license

Payment is processed by Stripe. We receive from Stripe:

  • Your email address
  • Your Stripe customer ID and subscription ID
  • Your billing country (for tax purposes)

We do not receive or store your card number, bank details, or full billing address — those remain with Stripe. See Stripe’s Privacy Policy.

b) When you activate or use the app

  • Your license key and the timestamp of each successful validation are stored in our database to confirm your subscription is active.
  • The app sends your license key to our validation API on startup and periodically to check validity. No other application data is transmitted to us.

c) When you visit this website

We do not use tracking cookies or third-party analytics. Our hosting provider (Vercel) may collect standard server log data (IP address, browser type, pages visited) for security and performance purposes. See Vercel’s Privacy Policy.

d) What we do NOT collect

The CaseDocMover desktop app processes your emails and documents entirely on your own machine. We never receive, transmit, or store:

  • Email content, subjects, or attachments
  • Case numbers, filenames, or document contents
  • Your email account credentials
  • Your SharePoint, Box, Dropbox, or network share credentials
  • Any other data from your mailbox or file storage

3. How we use your information

We use the information we collect solely to:

  • Deliver and validate your software license
  • Send transactional emails (license key, renewal confirmation, payment receipts)
  • Respond to support requests you initiate
  • Comply with legal obligations

We do not sell, rent, or share your personal information with third parties for marketing purposes.

4. Data storage and security

  • License and subscription data is stored in AWS DynamoDB in the us-east-1 region, encrypted at rest and in transit.
  • Access to our systems is restricted to authorized personnel and protected by AWS IAM policies with least-privilege principles.
  • On your machine, credentials you enter in the app are stored in your operating system’s secure keychain (macOS Keychain, Windows Credential Manager, or libsecret on Linux) — not in a plaintext file.

5. Data retention

We retain your license and subscription record for as long as your subscription is active and for up to 2 years after it ends, in case you reactivate. You may request deletion at any time by contacting [email protected]. Deletion will render your license key invalid.

6. Your rights

Depending on your location you may have rights to access, correct, delete, or port the personal data we hold about you. To exercise any of these rights, contact us at [email protected]. We will respond within 30 days.

7. Children

CaseDocMover is a professional tool intended for adults. We do not knowingly collect personal data from anyone under the age of 16.

8. Changes to this policy

We may update this policy from time to time. Material changes will be announced by updating the “Last updated” date at the top of this page. Continued use of the app or website after a change constitutes acceptance of the updated policy.
